Common ISO Terms and Phrases

ISO – An abbreviation for the International Organization for Standardization, an independent, worldwide, non-governmental body that develops voluntary standards to ensure products, processes, materials, and services are fit for purpose.

Standards – Benchmarks in quality agreed upon by experts to ensure safety and quality in international trade. These standards cover various aspects such as health and safety, quality management, environmental impact, IT security, food safety, and energy management. Each standard is identified by a unique number, e.g., ISO 45001 for Health & Safety (OH&S).

ISO Certification – Awarded to businesses that meet and demonstrate the high levels required for their chosen ISO standards. Certification is given following an independent audit by a third party and is recognized internationally.

Quality Management Systems (QMS) – Systems within an organization that help improve quality standards by implementing policies and objectives into processes, ensuring regulatory compliance and consistent standards for customers.

Audit – A routine inspection performed by internal employees or third-party external auditors to ensure a business is meeting standard requirements. Types of audits include:

  • Internal Audit – Conducted by trained internal employees to assess the organization’s performance and QMS implementation.
  • External Audit – Conducted by an external third-party auditor such as a registrar or consultant.
  • Re-Certification Audit – Conducted every three years to ensure continued compliance with the standard.

ISO Glossary

Compliance – When a company meets the requirements of a process, procedure, or standard, it is said to be compliant.

Continual Improvement – The ongoing effort to improve products, services, and processes to meet ISO standards better.

Corrective Action – Steps taken to correct non-conformity by addressing the root cause to prevent recurrence.

GAP Analysis or Initial Assessment – A report that identifies where an organization stands against the standard’s requirements and what needs to be done to be compliant.

Management System – The collection of policies, processes, procedures, and rules implemented by a company for specific purposes, such as quality management.

Monitoring – Continuous checking of processes to ensure compliance with relevant standards. Monitoring intensity may vary based on departmental functions.

Policy – Documents detailing information about a set of standards.

Process – A series of tasks or actions aimed at achieving a specific goal, often focused on customer satisfaction.

Quality Objective – A plan to ensure quality results are achieved.

Verification – The final step in achieving ISO certification, acknowledging that the company meets the standard’s requirements.
